What exactly gets migrated?

Not just the boxes on the screen.

A production workflow isn't simply:

Form → CRM → Email

Behind it can be conditions, transformations, delays, branching, credentials, API calls, retries, filters, deduplication, webhooks, error handling and side effects across several systems.

We recreate the behaviour your business relies on, not merely something that looks similar in another workflow editor.

How the migration works

    Audit the current system

    We identify the workflows in scope, what triggers them, what they connect to, how frequently they run and what happens when something goes wrong.

    We also identify workflows that are obsolete, duplicated or shouldn't be migrated at all.

  2. 02

    Calculate the economics

    Before rebuilding anything, we establish:

    Current annual operating cost versus Expected n8n operating cost and calculate the likely saving. You see the migration price and estimated payback before making the decision.

  3. 03

    Design the n8n replacement

    We map the existing behaviour into n8n and choose an appropriate deployment architecture.

    Where sensible, we'll simplify duplicated logic rather than blindly reproducing years of accumulated automation debt.

  4. 04

    Rebuild

    The workflows are recreated in n8n with the integrations, logic and error handling required to produce the intended result.

  5. 05

    Test against the existing system

    Your existing workflows stay in place while the replacement is tested. Critical inputs and outputs are compared before production traffic is moved.

    We don't switch simply because the new workflow executed without an error. We verify that it did the right thing.

  6. 06

    Controlled cutover

    Once the agreed tests pass, production is moved to n8n. The previous automation isn't immediately destroyed.

    There is a stabilisation period so problems can be identified without unnecessarily removing the previous working system.

What does the migration cost?

The price should make sense against the value it creates.

For straightforward, savings-led migrations, our launch pricing aims to keep the migration cost to a small fraction of the first year's verified platform saving.

Complex, critical or unusual migrations may require different pricing because workflow complexity matters as well as software saving.

What if migrating wouldn't save me money?

Then don't migrate for the sake of migrating.

n8n isn't automatically the right answer for every company.

You might already have favourable licensing.

Your automation volume might be too small to justify a rebuild.

You might require enterprise features that materially change the economics.

Or the migration itself might cost more than it's worth.

If that's what the assessment shows, we'll tell you.

We would rather lose one migration than recommend a project with bad economics.

Why n8n?

Cost is often what starts the conversation.

It doesn't have to be the only reason to move.

n8n can also make sense when your existing automation platform is becoming difficult to extend, you want deeper API or custom-code capability, you want more control over how workflows are deployed, or you want to consolidate automations that have spread across several tools.

The assessment considers both the financial and operational case.

Your system should still be yours.

If Keystone operates the system for you, that doesn't mean we need to lock you into Keystone.

Where appropriate, the n8n environment and workflows remain under your ownership.

If you decide to take management in-house later, the automation doesn't disappear with us.

Frequently asked questions

Will my existing automations stop while you rebuild them?

No. The objective is to build and verify the replacement before cutting over production workflows.

Can you migrate from something other than Zapier?

Yes. The service is intentionally platform-independent. Zapier, Make, Power Automate, Workato and Pipedream are obvious examples, but we can assess other automation platforms and mixed stacks as well.

Do you automatically recommend self-hosted n8n?

No. The right deployment depends on workload, technical requirements, security, maintenance requirements and economics.

What happens after migration?

You can manage the n8n system yourself or keep Keystone involved under an optional Managed Automation agreement.

Can you improve the workflows during migration?

Yes, where agreed. Migration can be a useful opportunity to remove duplication or unnecessary complexity, but we separate required behavioural parity from optional improvements so the cutover remains testable.

Do I need to know my exact usage?

No. Send what you have. If we need additional information to produce a defensible calculation, we'll tell you what is missing.

Is the saving guaranteed?

No generic percentage is guaranteed. That's precisely why we calculate your case individually. The estimate identifies the assumptions used so you can see what would change the result.
